Payroll & Benefits Officer

Function

SPACEBEL is looking for a Payroll & Benefits Officer to succeed the current person in charge who will retire in the second quarter of 2026. The position is to be filled in February 2026 and is based in our Liège offices.

Reporting to the HR Manager, you will be responsible for the administration of the complete employee life cycle within the company. You will ensure that practices and processes comply with legal and social requirements, manage payroll processes in cooperation with the social secretariat, administer individual files and manage extra-legal benefits (car fleet, insurance, etc.).

You will also be the main point of contact for employees and management on all issues relating to personnel administration and employment law.

As such, you will be required to handle the following tasks:

1. Personnel Administration

  • Maintain and update individual personnel files (contracts, amendments, absences, leave, etc.);
  • Prepare and monitor contractual documents relating to the entry, life and exit of employees;
  • Ensure compliance with legal and contractual obligations in terms of employment law and social security;
  • Monitor absences, holidays, illness, work-related accidents and special leave;
  • Approve invoices relating to personnel administration;
  • Check and approve entries for working hours and expense claims in our ERP system;
  • Update HR databases and dashboards (headcount, seniority, staff changes, etc.).

2. Payroll Management

  • Centralise and check variable wage components (absences, bonuses, overtime, benefits, etc.);
  • Transmit all required information to the social secretariat and verify simulations and pay slips;
  • Manage social security and tax declarations in collaboration with the social secretariat;
  • Answer employees' questions about payroll and all aspects of their salary package.

3. Fleet and Benefits Management

  • Manage the company fleet: allocation, follow-up of leasing contracts, maintenance, claims, fuel/charging cards, return of vehicles, short-term vehicles, etc.;
  • Monitor and manage other non-statutory staff benefits (luncheon vouchers, eco-vouchers, hospitalisation insurance, group insurance, etc.);
  • Interface with external service providers (leasing, insurance, social secretariat, etc.).

4. HR Support and Continuous Improvement

  • Help to improve HR processes and digitalise personnel administration;
  • Contribute to cross-functional HR projects (onboarding, well-being, compliance, etc.);
  • Produce regular HR reports for the management team (headcount, salary costs, turnover, etc.);
  • Keep an eye on social and legal issues relating to employment law and payroll.

Profile

  • You have an academic degree in Human Resources, Law or equivalent.
  • You have at least 5 years' experience in a similar role.
  • You have an excellent knowledge of Belgian employment law and payroll processes.
  • You are comfortable using office automation tools (particularly Excel) and have a certain ease with digital tools. You have already used an ERP system (knowledge of D365 or SD Worx is an asset).
  • You have a good knowledge of Dutch or are willing to learn it. Knowledge of English is a real asset.
  • You have a dynamic, enthusiastic personality and are able to work independently. You are a team player.
  • You are service-oriented and have good listening and communication skills. You demonstrate confidentiality.
