For our office located in Labège (Toulouse), we are looking for an Administrative and Financial Assistant.
Function
To support our teams in a fast-moving sector, SPACEBEL is looking for an Administrative and Financial Assistant. The vacancy is based in Labège (near Toulouse), where a close-knit team meets every day in a calm atmosphere that encourages exchanges and ensures respect for people.
You will be in charge of all aspects relating to the administration of the entity, in close collaboration with all the company's internal and external parties, as well as the parent company in Belgium.
Within this framework, and under the authority of the Administration & Finance Department, you will have a wide range of tasks:
- Reception and Front Desk
- On-site reception and email and telephone call management;
- Premises logistics (contact with owner, management of office supplies and cafeteria);
- Management of meeting rooms and catering.
- Management and Operations Support
- Diary and appointment management;
- Organisation of business trips: travels, hotels, transport, etc.;
- Administration support for operations: project reports, expense reports, etc.
- Personnel Administration in Cooperation with the Parent Company
- Management of staff arrivals and departures;
- Coordination of contracts up to signature;
- Interface with the various key players: social legislation, payroll manager, insurance, auditor etc;
- Follow-up of payroll management;
- Assistance to employees;
- Follow-up of absences and days off.
- Accounting and Budgeting in Cooperation with the Parent Company and Interfacing with our Accounting Office
- Input of accounting records and bank transfers;
- Follow-up of customers and suppliers;
- Follow-up of cash flow;
- Contact with external service providers: banks, accounting office, statutory auditors, etc;
- Support with closing of accounts and VAT returns;
- Participation in the entity's various financial reporting processes.
Profile
- You hold a Bac+2 or higher qualification degree.
- You have at least 2 years' experience in a similar position.
- You are familiar with the input of accounting records.
- You have an excellent command of office automation tools, particularly Word, Excel and PowerPoint.
- You have a good level of written and spoken English.
- Autonomy, multitasking, an analytical mind and the ability to summarise are some of your strengths.
- You are discreet, rigorous and attentive to the prevailing procedures.
- You have excellent time and priority management skills, so as to complete your tasks on time.
- Your fluent capacity for verbal and written expression will enable you to communicate effectively with all stakeholders.
- You are reliable, committed and someone we can count on.
- As the position may require access to information classified as national defence secret, the holder will be subject to a clearance procedure, in accordance with the provisions of articles R.2311-1 et seq. of the French Defence Code and IGI no. 1300 of August 9th 2021.
